Every key account, a new package.
Selections, templates and languages differ per retailer. The work repeats every season.
01 · CONSUMER GOODS
A consumer brand for home and kitchen products supplies retail chains, online retailers and marketplaces in twelve countries. PIM Gate gives each retail partner its own portal view, controlled sharing, content in eight languages — and makes the brand's product data findable on the open web.
“Before every season, forty retail partners ask for the same images — each in a different template, each by Friday.”
02 · SITUATION
The brand sells cookware, small appliances and kitchen accessories — around 4,500 active articles, two collections a year, and roughly 40,000 assets: pack shots, lifestyle images, videos, instruction leaflets, energy and safety documents.
Product data sits in a PIM, assets in a DAM, prices and listings in the ERP. Around forty key accounts — retail chains, department stores, online retailers — plus several marketplaces need content before every season. Each wants its own template and its own selection. Key account managers compile packages by hand and send them via file transfer links that nobody controls.
Texts are written in German and English and translated into six more languages by an agency, file by file. Country teams complain about inconsistent product names. On search engines and in AI assistants, retailer pages with incomplete data appear before the brand's own product pages.
| PARTNERS · DEMANDS | Role | Status |
|---|---|---|
| RETAIL CHAINS | listed range, images, texts, template | MANUAL PACKAGE |
| ONLINE RETAILERS | rich content, updates | EXCEL + FILE LINK |
| MARKETPLACES | structured feeds | COPY AND PASTE |
| RETAILER AGENCIES | campaign assets | FORWARDED LINKS |
| CREATIVE AGENCIES | briefs, uploads, review | EMAIL THREADS |
03 · CHALLENGES
Selections, templates and languages differ per retailer. The work repeats every season.
File-transfer links are forwarded to agencies and never expire. Nobody knows who has which image, or whether usage rights still apply.
A chain that lists 600 articles receives a 4,500-article dump — and picks the wrong variants.
File-by-file translation breaks brand terminology; a product has three names in French.
Without structured data on the brand's pages, retailers and comparison sites define how the product appears in search and AI answers.
Briefs, uploads and feedback loops for new pack shots run through inboxes.
04 · THE PIM GATE SETUP
PIM Gate combines product data, assets and retailer listings, translates into eight languages with the brand's terminology, and gives each retailer a portal view of exactly its listed range. Sharing happens through links with expiry and download caps. Feeds serve retailers and marketplaces; Open Data serves search engines and AI assistants. The agency-facing Media Portal is on the roadmap.

PIM Gate validates, translates into eight languages, entitles and audits, then serves a retailer portal, controlled share links, retailer and marketplace feeds, the brand website and an Open Data layer. A Media Portal for agencies is planned.
Findable where buyers search
05 · WORKFLOW
Product data and assets are linked per article; the ERP's daily listing export tells the gate which retailer lists which articles.
German and English source texts are translated per language with the engine you choose, checked against the brand termbase and approved by the country marketing team. Only new and changed texts go through the cycle.
Each retailer sees its listed range in its languages. New season articles appear when they are listed — not before.
Retail teams search, filter, build collections and download in bulk. Every download is logged.
A key account manager or the retailer shares a collection with the retailer's agency — with expiry date and download cap instead of an open file-transfer link.
Retailers and marketplaces receive scheduled or pushed feeds in their format. The brand's public product data goes out as JSON-LD, versioned feeds and GS1 Digital Link targets for QR codes on pack.

08 · TYPICAL CONFIGURATION
Brand marketing, e-commerce, key account management and product data need 11–25 seats; eight languages are exactly Version M's limit. Retailers, their agencies and marketplace managers are portal users — unlimited. With 40,000 high-resolution assets, storage beyond the included 500 GB is likely. Indicative list price €12,660, EUR, annual prepayment, excl. VAT.
| Item | € / year |
|---|---|
| Version M — 11–25 seats, ≤ 100k SKUs, 2 portal modules, 8 languages, 500 GB | €10,200 |
| Customer Portal as retailer portal (included in M) | incl. |
| Open Data module · SKU band ≤ 5k | €1,800 |
| Additional storage · 1 TB (per TB per month) | €660 |
| Indicative list price | €12,660 |
09 · ROLLOUT
WEEKS 1–2Listings, rights and languages. Which ERP export defines listings, which assets may go to which partners, termbase and reviewers per country.
WEEKS 3–6Pilot with five key accounts. PIM, DAM and listings connected; retailer views live; feedback on search and download.
WEEKS 7–12Eight languages and controlled sharing. Termbase import, first translation cycles with review; collections and share links for all key accounts.
FROM WEEK 13Marketplaces and the open web. Feed profiles for marketplaces and online retailers; JSON-LD and GS1 Digital Link on the brand site.
Indicative plan. Phases depending on 2026 capabilities start when they are available for your tenant.

Bring the template of one key account. We show how its listed range, images and texts would reach it — and how the same data becomes findable on the open web.
