01 · The regulation

What the Digital Product Passport is — and when it is expected.

The Ecodesign for Sustainable Products Regulation (ESPR) entered into force in July 2024. It creates the framework for a Digital Product Passport: a structured, digitally accessible record of information about a product's composition, origin, conformity, repair and end of life, linked to the product through a data carrier such as a QR code.

The ESPR itself does not switch the passport on for all products at once. The concrete requirements — which products, which data, at which level of granularity, from which date — are set in delegated acts per product group. These are expected to follow progressively from around 2027. Batteries come first under their own regulation: the battery passport is scheduled to apply from February 2027 for certain battery categories.

What this means in practice: the exact data set for your products will depend on the delegated act for your product group. What won't change is the mechanism — structured data, a unique identifier, a data carrier, differentiated access and a reliable history. That mechanism can be prepared now.

    Define the profile.

    Choose the passport profile for your product group — required fields, granularity (model, batch or item) and access level per field.

  2. 02

    Map your sources.

    Map existing attributes from PIM and ERP, link documents such as declarations of conformity, and collect missing supplier data through the Supplier Portal.

  3. 03

    Close the gaps.

    The gaps report shows, per product and field, what is missing or invalid. Records with gaps are held at the gate.

  4. 04

    Issue the passport.

    Each complete record gets a unique passport ID and a data carrier — a QR code encoding a GS1 Digital Link URI.

  5. 05

    Keep it current and traceable.

    Changes create a new passport version. Earlier versions remain available in an append-only history.

One passport. Different doors.

Not every passport field is meant for everyone. PIM Gate assigns an access level to each field. A consumer who scans the QR code sees the public view; a registered repairer or recycler sees repair and material details; market surveillance authorities get the full record. Access for professionals and authorities uses the same entitlement engine as your portals.

One QR code for the passport, the product page and the shelf.

PIM Gate generates data carriers as QR codes that encode a GS1 Digital Link URI on your own domain. The same code can lead a consumer to the public passport, a technician to repair information and a retail scanner to the GTIN — depending on who asks. You choose the granularity per product group: per model, per batch or per individual item.

Start with what you have. See exactly what's missing.

Most passport data is not new — it is spread across systems. PIM Gate reuses what already flows through the gate: attributes and materials from your PIM, origin and weights from ERP, certificates and declarations from your document management. The gaps report lists every missing or invalid field per product, with its expected source, so you can assign the work — internally or to suppliers.

Versioned passports.

A change to a passport field creates a new version. The QR code always resolves to the current version; earlier versions stay retrievable for authorised users.

Append-only audit.

Who changed what, when and why is recorded in an append-only log that can't be edited after the fact.

Built to last.

Passports may need to stay available for many years. Long-term retention and exports in open formats ensure your data isn't tied to one system.
